Why Outlook Storage Fills Up

Outlook and Microsoft 365 don't show which senders use the most space—so bulk deleting by size is hard. Here's why:

Attachments count toward OneDrive storage

Outlook and OneDrive share your Microsoft storage. Email attachments count toward that limit, but Outlook doesn't show you which senders or folders use the most.

No sender-size ranking built-in

You can search Outlook by sender, but there's no built-in way to see total storage per sender. EmailSlim ranks senders by size so you can bulk delete the biggest first.

Hard to identify largest inbox senders

Without a tool, finding who uses the most space means guessing. EmailSlim shows you exactly which senders (newsletters, promos, etc.) are filling your Outlook so you can clean up fast.

Outlook Bulk Delete FAQs

Yes. EmailSlim works with personal Outlook (Outlook.com, Hotmail, Live.com) and Microsoft 365 business or school accounts. You sign in with your Microsoft account; we use Microsoft Graph and only access metadata (sender, date, size, folders). Bulk delete and storage insights work the same—deleted emails go to Outlook's Deleted Items (and can be recovered within your org's retention window).

No. When you delete emails in Outlook (including bulk deletes via EmailSlim), they go to Deleted Items first. They stay there until you empty the folder or your admin's retention policy runs. You can recover them from Deleted Items (and often from "Recoverable Items" for 30 days). EmailSlim never deletes anything without your approval—all deletions happen in your Outlook when you click delete.

After you delete from Deleted Items (or empty it), Outlook often keeps messages in Recoverable Items for about 30 days. You can restore them via Outlook on the web or desktop (Folder: Recoverable Items). After that window, they're typically purged. When you bulk delete Outlook emails with EmailSlim, they go to Deleted Items first—so you have time to change your mind before recovery expires.
